Booking Window / Lead Time

How far ahead guests book — the lead time between reservation and arrival.

Academic definition

The booking window, or lead time, is the interval between the date a reservation is made and the arrival date. It varies systematically by segment and trip purpose: leisure and group bookings often carry long lead times, while corporate and last-minute transient bookings cluster close to arrival. Understanding the distribution of the booking window for each segment and date informs the timing of pricing and restriction decisions, since rate moves are most effective when aligned with when demand actually books. A lengthening window may indicate strengthening future demand or growing guest planning confidence; a shortening one may signal uncertainty or a shift in channel behaviour. The booking window also shapes cancellation exposure, as bookings made far in advance have more opportunity to cancel. It describes the timing of demand rather than its rate level, channel, or profitability.

Lead Time = Arrival Date − Booking Date (days)

Arrival Date = day of arrival · Booking Date = day the reservation was made

Worked example

A guest books on day 99 of the year for arrival on day 120 — a 21-day window that gives the hotel three weeks to steer demand toward direct channels before the date fills.

The ProfitPAR™ lens

The booking window is a timing signal, and timing is where profit is won or lost on a date. The long-lead booking gives you something valuable: time to shape the mix before the date fills, to push direct early and reserve the expensive channels as a last resort. Squander that runway and you end up buying the final rooms late through high-commission OTAs at whatever rate clears. ProfitPAR™ treats lead time as a profit-management horizon — the longer the window, the more opportunity to steer each booking into a lower-leak channel before scarcity forces your hand. Last-minute demand is the most expensive to serve; the booking window is your warning to get ahead of it.

A long booking window is runway to win the booking cheaply before scarcity forces an expensive channel.
